Business information: Information you provide to configure your clinic, including clinic name, logo, timezone, brand color, staff details, services, and locations.
Client booking data: When your clients book appointments through your public booking page, we collect their name, email address, phone number, appointment details, and any notes they provide. This data is stored on your behalf as a data processor.
Usage data: We may collect basic technical information such as IP addresses, browser type, pages visited, and timestamps to operate and improve the Service.
Payment data: Subscription payments are processed by our third-party payment provider. We do not store your full credit card details on our servers.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service
- Process subscription payments and manage your account
- Send transactional emails such as booking confirmations and account notifications
- Respond to your support requests

3. Your Role as Data Controller
When you use Apawintment to collect and manage personal data about your clients (names, emails, appointment history), you are the data controller and we act as a data processor on your behalf. You are responsible for ensuring that you have a lawful basis for collecting and processing your clients' personal data, and for complying with any applicable privacy laws in your jurisdiction (including GDPR, if applicable).
4. Data Retention
We retain your account data and associated business data for as long as your account is active. After account termination, we may retain data for a reasonable period before permanent deletion. You may request deletion of your data at any time by contacting us.
5. Data Security
We implement reasonable technical and organizational measures to protect your data, including encrypted data transmission (HTTPS), secure authentication, and access controls. However, no method of transmission or storage is 100% secure. We cannot guarantee absolute security and are not responsible for unauthorized access resulting from circumstances beyond our reasonable control.
